Students who move from one SBCSC to another SBCSC school

Students who move in from another Indiana school

  1. Fill out the Special Ed Enrollment Form as soon as you find the student. Send this form to the Special Ed Services office. You may not have the information to fill in all of the blanks, but it is important to let the Special Education office know right away that the student has an IEP.

    • Talk with your building Administrative Assistant or Attendance Secretary and ask for help obtaining needed paperwork (past IEP, psych testing records) from the parent and/or previous school
    • The Special Education Office can also be very helpful to you in gathering paperwork
  2. The student must be registered in PowerSchool by your school secretary, and in the STN database by a Special Ed secretary, who will lookup a previously assigned STN number, or assign a new one if needed. The STN will assign the student to SBCSC, and bring the student into the IIEP. This process sometimes takes 3-4 days, and the IIEP record will be blank. Do not begin entering student data into IIEP yet.

  3. Call Special Education Services (393-6119) to ask them to request the IIEP data. They will send an email to the sending school. The sending school will then push all of the IIEP data to the student.

Wait to enter information until after the data push is complete, because anything you enter will be overwritten when the record is transferred from the previous Indiana school.

Students who move in from out of state

  3. You will need the students IEP and the most recent psych from the previous school. If you do not yet have these documents, you may contact your support team to ask them to help you. They will call the previous school and help track down the needed documents.

  4. Once you have the documents

    • Give a copy of IEP and the psych to the school psychologist, who will review them and determine the student's eligibility and/or determine if any additional testing is needed.

    • Contact your support team member to enter the student's eligibility into IIEP.

    • Enter the IEP information into the appropriate fields in IIEP. Again, your support team can help you with this process, since it is often difficult to determine what goes where.

What if the parent does not respond or attend the conference?

If the parent does not respond to your attempts to hold the conference, you should schedule the conference anyway and send home the Notice of Case Conference. Send the Notice via certified mail.

If the parent does not attend, hold the conference, finalize the IEP, and send a copy of the IEP home via certified mail. Include a letter explaining to the parent that the conference was held due to the legal timelines and that you would be willing to schedule another case conference at their convenience to review/revise the current IEP.

What if you have no current IEP or psych information?

If you have an IEP, but no psych, give a copy of the IEP to the school psychologist to see if they have enough information to make the eligibility determination. If so, proceed with the conference.

If you have no IEP, hold the move in conference based on verbal verification from the previous school that the student has a prior IEP. Consult with the school psych to generate a Notice of Reevaluation.

What if the parent did not make the school aware of the student's eligibility when the student was enrolled?

The 10 day timeline starts when you receive verification of the student's disability.

What if the psych has determined that re-evaluation is necessary?

They will generate the reevaluation paperwork for you to take with you to have the parent sign at the move-in case conference.

What if the student moves in and moves out before the conference can be held?

If the student moves to another district in Indiana, we will lose access to the student in IIEP. Keep any paperwork you have gathered and forward to the receiving school.

If the student moves to another SBCSC school, forward all of the paperwork to the receiving TOR, who will then conduct the move in conference.

What if there is a request for expulsion before the conference can be held?

Hold the move in conference in conjunction with the MDC for the student.
